Executive Assistant - Product Team

On-site work model of 5 days in office/week in Sunnyvale, CA

As the Product Team Executive Assistant, you will support the senior leaders of the product organization in their pursuit of the company’s engineering initiatives and R&D organizational growth and development.

In this role, you will work under minimal supervision to provide advanced administrative support interacting closely with Product and Engineering Teams, and the tech leaders. You will prioritize and manage their time, anticipate their short- and long-term needs, coordinate events, key meetings, and be a conduit for information both up and down the organization – seeking and sharing the pulse of the organization.

To thrive in this role, you must be a self-starter, driving innovative solutions to make things happen in a quick and effective way, with an understanding of how to work with tech-oriented leadership.

Key Responsibilities:

  • Make the senior leaders of the product organization more effective, efficient, and organized

  • Help the engineering organization increase the efficiency of its leadership team and help them drive key initiatives throughout the organization

  • Partner closely with the EA to the CPO and CTO to collectively provide support to the Product team

  • Be a contributing member to the administration community and help with company-wide projects

  • Manage each executive's calendar and anticipate the needs of the executives and their respective teams

  • Participate in group meetings to gain an understanding of key initiatives and help coordinate their execution across the org, including tracking/following up on action items

  • Own all planning and management around meetings and events, including Engineering all hands, Engineering leadership team meetings, Engineering New Hire Orientation, and other key sessions

  • Find ways to improve communication and processes so that the team can be more effective

  • Prepare presentations, reports and materials for internal meetings, board meetings and external customers/events

  • Coordinate travel, hotel arrangements (both domestic and international), including itineraries and preparing expense reports

  • Act as a liaison with all levels within and outside the organization

  • Work on individual projects that are assigned and take ownership of the team

  • Facilitate connection between executives and people in their organization especially for new hires

Experience:

  • 5+ years of administrative experience

  • Experience supporting 4+ leaders simultaneously

  • Proficient in MS Office Suite

  • Technical aptitude to quickly learn new programs and tools

  • Punctual, detail-oriented, organized, and a creative problem solver

  • Strong written and verbal communication skills

  • A positive and professional attitude, regardless of the task at hand

  • The capacity to independently see a project through from start to finish

  • Ability to sense and respond to executive needs in a timely manner

  • Local candidates strongly preferred

Pay Range:

$ 100,000 USD - $ 115,000 USD

The pay range for this job level is a general guideline only and not a guarantee of compensation or salary. Additional factors considered in extending an offer include (but are not limited to) responsibilities of the job, education, location, experience, knowledge, skills, abilities, as well as internal equity, alignment with market data, or applicable laws.
