Frontier Medicines is in search of a talented Executive Assistant with experience in office management who will provide comprehensive support to office operations and two executives, as well as other senior leaders from time to time. This individual will work collaboratively to streamline daily administrative and operational efforts for the office while also supporting the strategic goals of the company. What will you be doing?
Executive Support:
- Support two executives, including scheduling meetings, booking conference rooms, and arranging travel planning and logistics
- Act as a gatekeeper and trusted advisor for the executives, proactively prioritizing active projects and ensuring their time is used efficiently
- Keep the executives on track and informed of all priorities while strategically managing their time
- Coordinate important meetings, including preparing presentations, necessary materials, and agendas
Office Operations:
- Ensuring the office stays organized, including stocking supplies, managing workspace allocation, and welcoming visitors
- Coordinate monthly office happy hours and assist in planning other company events.
- Oversee clerical tasks such as sorting and sending mail, assisting with packages and deliveries as needed
- Submit work orders and schedule repairs for general office space and equipment, escorting vendors as necessary
- Welcome all visitors and guests to the office and ensure a positive experience.
- Ensure the E2E office oversight to ensures a smooth running of the office at all times
Traits we believe make a strong candidate:
- Minimum of 5-7 years’ experience assisting leadership in biotech or related field is preferred
- Bachelor’s degree required
- Exceptional written and verbal communication skills as you will be interfacing with high-level executives
- Advanced knowledge of MS Office, particularly Excel, PowerPoint, and Outlook is required
- Experience with cloud-based management and office tools such as Box, Slack, Monday, Replicon is a plus
- Quick learner with a creative approach to problem-solving and critical thinking
- Team-player mentality, with an enthusiastic willingness to jump in wherever needed
- Impeccable attention to detail and precision.
- Flexibility to work outside of normal business hours if needed
- Demonstrated track record of managing multiple tasks and sensitive information with discretion

At Frontier we strive to build a diverse and equitable workplace. The salary range for this role is $75,000-110,000. Compensation for the role will depend on a number of factors, including candidates' qualifications, skills, competencies and experience.
