Description

The Executive Assistant will be responsible for providing administrative and operation support to the CFO and VP of Strategy of Fervo Energy. This position will coordinate and manage executive scheduling, support internal communication and investor communication, organize and facilitate team meetings and offsites, coordinate travel and logistics, and help manage the Fervo office. The Executive Assistant will report to the CFO and VP of Strategy.

Responsibilities

  • Administrative Support: Provide high-level administrative support to the CFO & VP of strategy by managing calendars, scheduling meetings, handling correspondence, and prioritizing tasks to ensure efficient workflow.
  • Travel Coordination: Arrange complex domestic and international travel itineraries, including flights, accommodations, and ground transportation, while considering executive preferences and company policies.
  • Meeting Coordination: Coordinate and schedule meetings, conferences, and appointments, ensuring all necessary materials and resources are prepared in advance. Take meeting minutes and follow up on action items as needed.
  • Communication Liaison: Serve as the primary point of contact between executives, internal teams, clients, and external stakeholders, managing communication channels effectively and ensuring timely responses to inquiries.
  • Information Management: Organize and maintain confidential information, files, and documents, both physical and electronic, ensuring accuracy, accessibility, and adherence to data security protocols.
  • Project Support: Assist in the planning, execution, and tracking of various projects, including research, data analysis, and report generation, to support decision-making and drive initiatives forward.
  • Expense Management: Track and reconcile expense reports, credit card statements, and invoices, ensuring accuracy and compliance with company policies and budgetary guidelines.
  • Problem Solving: Anticipate and proactively address potential issues and challenges, exercising sound judgment and discretion in decision-making and problem-solving, and escalating matters as necessary.
  • Team Collaboration: Collaborate with other administrative staff and departmental teams to streamline processes, share best practices, and foster a positive work environment conducive to productivity and success.
  • Maintain Discretion and Confidentiality: Handle sensitive and confidential information with the utmost discretion, ensuring the security and privacy of all communications and documents. This includes managing confidential correspondence, safeguarding proprietary information, and adhering to company policies and ethical standards in all interactions.

Qualifications

  • 5+ years of experience as an Executive Assistant in a fast-paced environment
  • Strong Organizational Skills: must be equipped to manage multiple tasks, prioritize effectively, and maintain a high level of organization; including ability to manage calendars, coordinate meetings, and handle various administrative duties at the same time.
  • Excellent Communication Skills: Both written and verbal communication skills are essential. EAs often act as a liaison between the executive and other stakeholders, requiring clarity and professionalism in all communications.
  • Proficiency in Office Software: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software is usually required; experience with Monday.com is a plus
  • Problem-Solving Skills: The ability to anticipate needs, identify issues, and come up with effective solutions; must be proactive and resourceful, often manage unexpected challenges
  • Ability to work onsite in downtown Houston 4 days per week
