Position Overview: As a Contract Administrator at Capella Space, you will join a dynamic and innovative team rapidly scaling and supporting contracts that span a broad gamut, including software licenses, partner agreements, government contracts, international agreements, non-disclosure agreements (NDAs), and reseller agreements, ensuring comprehensive coverage for significant diverse growth and business needs. Reporting to the Sr. Director of Contracts & Supply Chain, your primary responsibility will be to manage, review, and maintain company contracts to ensure compliance, accuracy, and adherence to organizational policies.. This role involves coordinating with internal departments, managing NDA’s, electronic filing/organization of contracts, negotiating contract terms, supporting business development reviews, and managing contracted deliverables. This position requires a deep understanding of legal and contractual frameworks, exceptional organizational skills, negotiation skills, and the ability to thrive in a dynamic and rapidly evolving space environment.
Role Responsibilities:
- Contract Lifecycle Management
- Act as a point of contact for contract-related queries and support.
- Draft and prepare contracts using standard templates.
- Act as a key liaison between internal teams and external parties during contract lifecycle management process.
- Coordinate the signing process using physical and/or digital tools.
- Implement and manage Contract Lifecycle Management (CLM) software for efficient workflows.
- Track and monitor contract milestones, obligations, and deliverables to ensure compliance.
- Automate routine processes like alerts for key dates, approvals, or renewals.
- Manage Contract workflows to ensure timely task execution.
- Proactively monitor contract expiration dates and initiate the renewal process when appropriate.
- Conduct periodic customer audits to assess compliance with contractual obligations.
- Continuously refine processes and documentation to enhance efficiency, accuracy, and user experience.
- Compliance and Risk Management:
- Ensure Contracts comply with relevant laws, regulations, company policies and industry standards.
- Identify potential risks in Contracts and work collaboratively with Legal and project teams to develop risk mitigation strategies.
- Stakeholder Collaboration:
- Collaborate with internal stakeholders, including project managers, engineers, and finance teams, to ensure Customer requirements and contractual obligations are met.
- Foster positive relationships with external partners, clients, and subcontractors.
- Work closely with finance, legal, engineering, operations, supply chain, and project management teams to ensure alignment on contract terms.
- Documentation and Record Keeping:
- Maintain accurate and organized contract files, ensuring all relevant documentation is stored securely, distributed appropriately, and is easily accessible.
- Generate reports and summaries for management review.
- Prepare and present regular reports on contract status and other relevant metrics to senior management.
- Ensure all contract documentation is accurately maintained and filed in accordance with company policies.
- Continuous Improvement:
- Stay abreast of industry trends, regulations, and best practices to continuously improve contract administration processes.
- Propose and implement enhancements to streamline process workflows and increase efficiency.
Qualifications
- Required
- Bachelor's degree in business administration, supply chain management, law, or a related field.
- Minimum of 6+ years of experience as a Contract Administrator and Subcontract Administrator preferably within the aerospace industry.
- Strong understanding of contract law, commercial agreements, and government contracting.
- Detail-oriented with strong organizational and analytical abilities.
- Excellent negotiation, communication, and interpersonal skills.
- Familiarity with relevant industry regulations and standards.
- Proficiency in contract management software and Microsoft Office Suite.
- Ethical and professional conduct, with a commitment to maintaining the highest standards of integrity.
- Ability to obtain and maintain USG Security Clearance
- To conform to U.S. Government space technology export regulations, including the International Traffic in Arms Regulations (ITAR), Capella Employees must be a U.S. citizen, lawful U.S. permanent resident (i.e., current Green Card holder), or lawfully admitted into the U.S. as a refugee or granted asylum, or be eligible to obtain the required authorizations from the U.S. Department of State and/or the U.S. Department of Commerce, as applicable. - Desired
- Advanced degree or relevant certifications (i.e. CPCM, CFCM, CCCM).
- Experience with FAR and DFAR requirements.
- SaaS, DaaS, and/or License Contract experience
- Lean / Six Sigma training or certification.
- Security clearance
Working Conditions:
- Full-time position, hybrid based in an office setting.
- Occasional travel to customer sites and industry conferences may be required.
- May involve extended hours to meet project deadlines and resolve urgent contractual issues.
Compensation
The annual salary range for this role as it is posted is $95,000.00 - $155,000.00. The final job level and annual salary will be determined based on the education, qualification, knowledge, skills, ability, and experience of the final candidate(s), specific office location and calibrated against relevant market data and internal team equity.
