Job Description:
Alation is seeking a highly organized and resourceful Executive Assistant to provide comprehensive support to our Go-to-Market (GTM) executive staff. This individual will play a critical role in enabling the productivity and effectiveness of our executive team by providing proactive administrative, business, and operational assistance.
This contract position demands a seasoned professional who thrives in a fast-paced environment, demonstrates exceptional attention to detail, and can seamlessly handle a variety of tasks, from calendar management to event planning. The ideal candidate will also be flexible and responsive, occasionally available to support urgent needs outside of normal business hours.
***This is a contract role that will require the successful candidate to be on-site at our Redwood City office five days a week.***
What You’ll Do
Provide high-level administrative support to our three GTM executives.
Manage complex and dynamic calendars; plan and schedule internal/external meetings, anticipating and resolving scheduling conflicts.
Coordinate and manage domestic and international travel arrangements, including itineraries, transportation, accommodations, and expense reporting.
Plan and execute logistics for onsite and offsite team events, including planning sessions, offsites, and team-building activities.
Serve as a liaison between the executive team and internal/external stakeholders with professionalism and discretion.
Attend leadership meetings, prepare agendas, take and distribute notes, track action items, and ensure follow-through.
Draft, proofread, and manage high-quality correspondence, reports, decks, and presentations.
Monitor ongoing projects, ensuring deadlines are met and stakeholders are informed of progress.
Prioritize and respond to time-sensitive tasks, occasionally outside regular working hours.
Maintain a high degree of confidentiality and handle sensitive information with discretion.
Collaborate with other Executive Assistants and cross-functional teams to ensure seamless coordination and coverage.
What You’ll Need
Bachelor’s degree and/or 5+ years of experience as an Executive Assistant supporting senior executives, ideally in a fast-paced, high-growth, or startup environment.
Proven experience planning and coordinating events including team onsites, offsites, and social or team-building activities.
A service-oriented mindset and a proactive, can-do attitude.
Excellent verbal and written communication skills.
Strong project management skills; ability to manage multiple priorities simultaneously and with precision.
Tech-savvy and proficient with productivity tools such as Google Workspace (Gmail, Calendar, Docs, Sheets, Slides, Drive), Slack, and MS Office Suite.
Highly detail-oriented, organized, and capable of anticipating executive needs.
Ability to remain calm and focused under pressure and adapt quickly to changing priorities.
Discreet, professional, and capable of maintaining strict confidentiality.
Nice to Have
Prior experience supporting GTM or Sales leadership in a SaaS or enterprise tech company.
Experience using tools such as Net Suite, and Navan.
