About the Role:

At Agility Robotics, the Administration team is critical to achieving our mission. We are looking for a temporary Executive Assistant from July 1 through December 31st to support the executive team during an upcoming parental leave. As a temp Executive Assistant, you will support critical functions which help the organization execute efficiently and effectively, and engage with other functions of the business. Executive assistants perform more than administrative tasks; they are often the executive’s “right-hand person” who enables the executive to advance the company's initiatives and goals. They filter and attend to the day-to-day functions that are part of the executive’s role so that the executive can focus on the high-level leadership and strategy functions. The perfect fit is someone who learns fast, likes to execute swiftly, has a strong attention to detail, and comfort with handling confidential information.

About the Work:

  • Calendar management: Prioritize and coordinate the executive’s calendar. Partner with other EA’s to coordinate the executive's calendar with other leadership team members’ calendars. Make sure the leadership team is spending their time in a way that's most efficient to achieve our objectives. Support other EAs during their vacations to support other leadership team members’ calendars when other EAs are out-of-office.
  • Communications: Create slides or spreadsheets to assist executives in key messaging and communications. Takes notes and records minutes as needed. Attention to detail and aesthetic is valued.
  • Travel planner: Plan flights, hotels, transportation, dining, etc. for executive team members for travel needs. A strong attention to detail here is valued.
  • Meals: Plan and arrange reimbursable meals for key meetings (e.g., Board of Directors’ lunch visit) and executive during travel (e.g., breakfast groceries)
  • Expense management: Assist with expense and reimbursement tasks associated with expense management for executives.

About you:

  • 5+ years of Executive Assistant experience at a fast-growing startup
  • Organized and detail-oriented: Strong attention to detail, able to stay calm under pressure, create order of out chaos
  • Effective communicator: Ability to communicate the priorities of leadership, whether it is by written, verbal, or group communication
  • Discreet: Demonstrated ability to maintain complete confidentiality on all business matters
